On The Move privacy policy

This privacy policy is related to On The Move, the charitable campaign operated by Rightmove Group Limited (company number 03997679), 2, Caldecotte Lake Business Park, Milton Keynes, MK7 8LE.  In particular it relates to individuals registering to participate in the MK Marathon weekend, including the 5k, half marathon and full marathon.  This privacy policy aims to inform you how we collect and process your data, with whom, and for what purpose.

This policy is split into sections so you can easily locate and review different areas of information. Specific details about the use of your data are also mentioned at the point of collection, on our online registration forms and on the e-newsletter opt-in on our websites, for maximum transparency.

Data we collect about you and why

  1. Personal information/identity data; including first name, last name, gender, home address. These are collected when you complete the registration form, in order to fulfil aspects of entry to the On The Move team.
  2. Contact data; including home address, email address and contact telephone number. When signing up for an event, these are collected to fulfil your entry and to enable organisers to contact you with information or instructions about the event.
  3. Behavioural data, around customer behaviour on event websites and registration forms (collected via Google Analytics). This is anonymised data and is only used to monitor how consumers use our websites or registration forms – for example, how they arrive on the registration form– for example a link in an email, a post on social media, or a specific section of a website.
  4. Please note that in some instances you will be referred to third party websites to complete your application to take part in an On The Move event. For example, participation in the MK Marathon requires you to sign up directly with the MK Marathon Weekend organisers and to set up a Just Giving page. There is also the option to join online social media groups including those on Facebook and Strava. Each of these companies operate their own privacy policies which explain how they use your data.

Reasons for collection of Data

Below you’ll find a brief overview of the reasons we collect personal data and how we collect and process it. If you would like any additional information on any of the points below, please contact the On The Move team at onthemove@rightmove.co.uk

  1. To administerparticipationin any On The Move events – certain types of data are needed to allow you to participate and to allow us to stage the event. This data is kept for a maximum of two years, on a secure Rightmove server in a  password protected schedule, after which time it is deleted.  Access to this data is restricted to the On The Move team.
  2. To communicate about the specific event you are participating in. On the Move will use your data to confirm your acceptance into an event, and to communicate with you about that event. This includes, but is not limited to, confirmation of entry, advice and instructions as to how to confirm a place, team updates, fundraising updates, event updates, charity updates, and other information related to the specific event you are registering for. On The Move will not use your data to send you marketing about events that are unrelated to the one you are participating in.
  3. On The Move will not share your data with any third parties. Data which has been collected for the purposes of your entry to On The Move will not be shared with or used by Rightmove for another purpose.

How is Data collected?

We collect your data in a number of different ways, including:

  1. Via On The Move’s registration services provider who are used to administer event entries;
  2. Via direct interactions; where a you may pass identity information by post, phone, email or otherwise whilst signing up to an event, or providing feedback;
  3. Via contact forms; social media platforms, and our event websites, where you may interact with On The Move, enter a competition, promotion or survey
  4. Via third parties; who share personal data with On The Move. For example, the MK Marathon organisers share data with On The Move including whom has signed up to the event using a race specific On The Move code, those users home addresses, and their running shirt size. This data is shared with us so we know who has completed their marathon entry for the On The Move team, and so we can post runners’ packs containing On The Move t-shirts, amongst other items necessary for the race. The organisers of the MK Marathon will have their own privacy policy in place, please refer and review this in advance of submitting your data.

How we use your Data

On the Move and Rightmove take the management and processing of personal data very seriously and will only use data where the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  1. In order for On The Move to fulfil various aspects of your event entry; such as confirming your place in a team; posting you a race pack and sending you information about the event.
  2. Where we have your consent to use your data.

Your legal rights

You have the right to:

  1. Request details of the personal data On The Move hold on you, and the purpose for it being held (commonly know as a ‘data subject request’). This enables you to check that it is being lawfully processed.
  2. Request correction of the personal data that On The Move hold about you. This enables you to have any incomplete or inaccurate data held corrected, though this may need to be verified.
  3. Request your personal data be erased by On The Move, where you feel there is no good reason for us to continue processing it. In some cases, it will not be possible to immediately erase personal information as this would leave to On The Move being unable to fulfil aspects of your entry into an event. For example – address details are required to enable us to deliver a race pack (containing items essential for on-the-day-participation to you). We will advise you if this is the case at the time you withdraw your consent.
  4. Withdraw consent to receiving communications via e-mail. You can request this by contacting us directly by emailing onthemove@rightmove.co.uk. As per the above, in some cases it will not be possible to erase this without risking your entry to an event. We will advise you if this is the case at the time you withdraw your consent.

Data controller

On The Move is the data controller in relation to the events organised under the On The Move brand. On the Move is responsible for the use, processing and sharing of your personal information in relation to the fulfilment of your event entry and communication.
